Offsite Document Management Solutions

One of the biggest challenges that our organization has faced over the last couple of years is that we needed to send out our customer files with our traveling sales force on a daily basis.  We usually sent them copies, which resulted in large expenses with respect to both the paper used and time to make the copies.  In fact, it made up over five percent of the company’s total expenses.

It wasn’t until the economy started to suffer that the CEO of the company started to look at better ways to reduce our costs without sacrificing the workforce.  He had some document management software vendors come make presentation to the company to get some ideas on which direction they should be going.

In the end, they chose a combination of an online data storage solution and put some data capture systems in place to basically digitize all the documents within the organization.

The result of these changes is that they didn’t have to downsize the workforce, and all of the sales team have remote access to all the documents that they need with their laptops wherever they go.  They were also able to reduce the previous copying expenses down to nothing and in turn they gave us all a bit of a raise - it was definitely a change for the better.
